As a Fleet Analyst, you will report directly to the Fleet Manager. Internally, this role will work closely with Regional General Managers, General Managers, Install Managers, Operations Administrators, and the Integrations Team. Externally, you may work with our leasing companies and their contacts.
Key Role Accountabilities
Your role will consist of maintaining the day-to-day operations of our Fleet, analyzing and reporting on various costs associated with fleet vehicles, and maintaining an up-to-date listing of all vehicles and their locations.
In this role you will be responsible for maintaining and analyzing fleet vehicles through our leasing company portals. You will be responsible for reporting and analyzing maintenance costs and repairs through the company’s vendor maintenance database. You will also be responsible for creating actionable reports for the Fleet Manager & Operational Controller for telematics, gas consumption, lease costs, maintenance costs, lease ending dates and various other reportable items. You will be required to support the Fleet Manager by providing training and support to regional contacts on the company’s telematics operations and website access. You will also be required to analyze and audit fuel spends to ensure compliance with West Shore Home’s fuel policy.
As a Fleet Analyst, you will be responsible for the monthly auditing of the insurance vehicle listing to ensure all vehicles are listed on the policy. You will also be responsible for removing any sold vehicles that no longer need to be covered by our insurance.
In this role, you will be responsible for the daily tasks associated with fleet vehicles through the JIRA Help Desk Ticket system in the appropriate amount of time. In this system you will be responsible for ordering new and replacement gas cards, insurance cards and maintenance cards. You will also be responsible for managing the wrapping of all company vehicles by coordinating with regional contacts and the company’s graphic solution vendor.
As a Fleet Analyst, you will be responsible for the addition, removal, and auditing of the fleet vehicle list to make certain all vehicle types and their regional location are accurate. You will also be responsible for completing and maintain the New Vehicle Checklist to ensure all new fleet vehicles have the required cards and documentation once they arrive at their destination.
In this role, you will be required to review and update any title and insurance documents when requested. You will support the Fleet Manager through the acquisition process by working with regional contacts to title newly acquired company owned vehicles into West Shore Home’s name. You will also be assisting the Fleet Manager with the disposal/sale of any company owned vehicles. You may also be assigned other duties as necessary.
What Success Looks Like
A successful Fleet Analyst will support the Fleet Manager and Operational Controller with timely and accurate reporting, as well as maintaining the daily operations and requests for all company vehicles. Communication, accuracy, and timeliness are extremely important in this role. As an Exceptional Teammate you will use these skills to support the Fleet Manager and Operational Controller in fulfilling all fleet requirements throughout the company. You will be asked to Do the Right Thing Always by ensuring adherence to safety policies and compliance with State and Federal guidelines.
Work Environment & Physical Requirements
- Non-Exempt role with standard hours from 8:00 AM to 5:00 PM
- Must be able to sit and use office equipment (computer, mouse, phone, etc.) for extended periods of time
Minimum Role Requirements
- Very strong computer and analytical skills
- Experience with Microsoft Office Suite, particularly Excel
- Strong attention to detail and time management skills
- Good problem-solving, critical thinking and decision-making skills
- High School Diploma or equivalent
